Responsibilities of the Office Coordinator: Hospitality & Guest Experience - Welcome employees and visitors with a consistently warm, professional demeanor Manage end-to-end guest experiences, including arrivals, refreshments, conference room coordination, and amenities Proactively anticipate needs and elevate the experience through thoughtful, detail-oriented service Enforce building access and security procedures, including guest registration, badge issuance, and escort protocols Office Operations & Coordination- Maintain continuous, polished front desk coverage to ensure readiness at all times Answer and route incoming calls appropriately, directing callers to online resources or capturing details for follow-up Schedule and manage conference room reservations, addressing conflicts as they arise Monitor and replenish office inventory across kitchens, restrooms, conference rooms, and supply areas Uphold high office standards by identifying and addressing maintenance issues, gaps, or opportunities for improvement Administrative Support- Assist with expense report processing and general administrative support tasks Oversee incoming and outgoing mail and package distribution Provide on-site support for meetings and events, including setup and day-of coordination Procure office supplies and snacks to ensure consistent availability
Requirements of the Office Coordinator: 1-2+ years in hospitality, customer service, office coordination, or front desk roles Genuine passion for service - you light up when helping others Exceptional interpersonal skills and emotional intelligence Ability to juggle multiple tasks while staying calm and focused Reliable and consistent - you show up fully, every single day Professional presence and polished communication skills Problem-solving mindset - you find solutions, not excuses
